General Description
This position is located at the AST Little Axe Health Center Dental Department.  This department provides general dentistry and oral hygiene care services within the AST Health System.  The Dental Front Office Assistant’s primary responsibility is to handle all front desk duties for the dental clinic. The Dental Front Office Assistant must provide an exceptional patient experience by ensuring that patients, parents and/or guardians are the number one priority.
Responsibilities & Duties
PRINCIPAL DUTIES AND RESPONSIBILITIES:
Greets the patient with a smile, and accommodates patients’ needs in a comfortable and pleasant manner.
Checks-in patients upon arrival at the office, updates patient’s demographics at each visit as well as obtains necessary financial, and/or medical updates along with HIPAA forms, consent for treatment, etc...
Checks-out patients upon completion of the appointment, schedules the next appointment(s) as needed and provides patients with any necessary documents, including treatment plans, receipts, school excuse notes, or appointment reminder cards.
Provides patients with a high level of customer service by answering the telephone promptly, communicating in a courteous and friendly manner and addressing patients’ needs and questions.
Schedule appointments based on the health center’s scheduling guidelines and in accordance with the dental clinic rules.
Makes outbound calls to patients to confirm appointments and makes patient reminder calls for future appointments.
Verify insurance active coverage dates and covered benefits of patients.
Fill cancelled/rescheduled appointment assuring the schedule is
Input and scan insurance information into patient’s chart.
Maintains patient confidentiality; adheres to all HIPAA guidelines/regulations.
Ensures any release of patient information is done in accordance with the health center’s guidelines.
Ability to input/scan all patient information into chart including x-rays/patient’s health history/ Med. List/ Medical clearance/ N2O consent forms/surgical consent forms/treatment-clinical notes from referring doctors.
Send out missed appointment letters to patients.
Obtain emergency walk-in form along with symptoms for all emergency walk-ins patients and go over the policies for walk-ins with patients.
Send insurance information, x-rays and other necessary patient information to outside provider via secure email.
Other duties as assigned.
Qualifications
Minimum high school diploma or equivalent.
Minimum of 2 years’ experience working in a professional, medical, or dental environment with direct customer service.
Previous work experience in dental field as dental receptionist or dental assistant– preferred.
KNOWLEDGE, SKILLS AND ABILITIES:
Must be able to follow and apply established office policies and procedures.
Must have strong interpersonal and relationship building skills.  Must be able to communicate effectively both verbally and written.
Be capable of working effectively with doctor, staff members, and patients under varying conditions. 
Must be able to embrace differences among people and able to interact with internal staff as well as external contacts in a culturally competent and respectful manner.
Be customer service oriented and able to communicate with a pleasant demeanor at all times.
Be able to deal with the pressures and demands of dealing with ill and injured and their family members.
Must possess excellent organizational skills, strong attention to detail, be able to multitask and perform job duties in a timely manner.
Must have computer skills; be proficient with Microsoft office software. Experience with Dental EHR systems desired. 
Must be able to pass a background check and submit to a drug screen.
Must have a valid Oklahoma Driver License.
Physical Requirements and Working Conditions
Must be able to sit, stand, stoop, bend or kneel for long periods of time.
Sitting or standing or walking for long period of time; occasional bending, squatting, kneeling, stooping; good finger dexterity and feeling; frequent repetitive motions; talking hearing and visual acuity.
Frequent lifting (up to 15 lbs)
Occasional lifting (up to 30 lbs)
