General Description
The purpose of this position it to provide high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.
Responsibilities & Duties
Manage and maintain Tribal Treasurer’s schedule and assist with providing administrative direction to program managers.
Communicates with media on needs for public relations activities inclusive of storylines, photo opportunities, etc.
Creates and implements community related activities for presentations, mail-outs and other related informational needs.
Prepare invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheets, database, or presentation software
Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution
Open, sort, and distribute incoming correspondence, including faxes and email
Prepare responses to correspondence containing routine inquires
Perform general office duties such as ordering supplies and maintaining records
Traveling, on occasion, with and/for the Tribal Treasurer to various meetings
Make travel arrangements for the Tribal Treasurer
Other duties as assigned.
Education and Qualifications
Associate’s Degree (preferred but not required) and a minimum of two years of professional or technical administrative experience in business or public administration or an equivalent combination of education and experience, substituting one year of qualifying experience for each year of the required education.
Must have excellent verbal and written communication skills plus must be very knowledgeable with English grammar, spelling and punctuation.
Must have excellent skills in typing, computers, some spreadsheet and word processing software programs, and other typical office machinery.
Must work with minimal supervision and maintain professional rapport with the general public.
Must be able to pass a background check.
Must have a valid Oklahoma Driver’s License.
Working Conditions Physical Requirements
Sitting or standing or walking for long period of time; occasional bending, squatting, kneeling, stooping; good finger dexterity and feeling; frequent repetitive motions; talking hearing and visual acuity.
Frequent lifting (up to 15 lbs)
Occasional lifting (up to 30 lbs)
