General Description
The Materials Management Supervisor oversees and coordinates purchasing activities of the Absentee Shawnee Tribal Health System to ensure the timely, cost-effective, and compliant acquisition of goods and services. The incumbent is responsible for managing the end-to-end procurement process from sourcing and vendor selection to purchase order approval while ensuring adherence to company policies, budgetary guidelines, and applicable regulations. The Materials Management Supervisor supports the travel and procurement team, providing guidance and performance oversight to ensure operational efficiency and high service standards. The incumbent will develop and maintain strong relationships with suppliers, monitor vendor performance, and identify opportunities for cost savings, quality improvements, and process enhancements. This role reports to the Facilities Director.
Responsibilities & Duties
Carry out ODPI processes and related activities according to established procedures.
Follow established procurement and supplier management practices to support commercial and operational needs.
Review and approve purchase requests within designated budgetary limits, ensuring compliance with procurement policies and alignment with departmental needs.
Oversee and ensure accurate inventory control processes, including asset tagging, maintaining up‑to‑date inventory records, and conducting regular inventory counts to support operational efficiency.
Monitor and maintain records of employees authorized to operate tribal vehicles, ensuring each driver meets insurance coverage requirements prior to vehicle use.
Apply company standards, controls, policies, and procedures to process and record third‑party spend accurately.
Identify and report process issues or errors to supervisors for review and resolution.
Maintain regular communication with approved suppliers to confirm pricing, quality, and delivery schedules.
Oversee the activities of the travel and procurement team, ensuring effective execution of day-to-day procurement, inventory, and travel management functions in accordance with established procedures.
Ensure all travel requests and arrangements are processed in accordance with GSA and Tribal guidelines.
Coordinate with tribal procurement and finance offices, as well as administration, health finance, clinical staff, and facility maintenance, to fulfill material requests in support of patient care.
Assist in carrying out sourcing activities within assigned categories, following established targets, timelines, and resource plans provided by management.
Gather and maintain market and supplier information to support purchasing activities
Perform other related duties as assigned.
Education Requirements and Qualifications
Education and Qualifications
High School Diploma or GED required.
2-4 years most recent experience related to Health System Procurement/Materials Management.
Materials management/purchasing experience within a hospital or health system are required.
Good understanding of packaging components and associated commodities.
Solid track record of meeting substantial material cost reduction targets.
Knowledge, Skills and Abilities
Strong computer skills, ideally with experience using Windows-based PC programs.
Ability to coordinate multiple group efforts within the company to achieve objectives.
Excellent written and verbal communication skills.
Excellent organizational and problem solving skills.
Ability to handle multiple tasks, with awareness of deadlines.
Ability to identify processes needing improvement, and to recommend improvements.
Must have a valid Oklahoma Driver’s License.
Must be able to pass a background check and drug test.
Physical Requirements and Working Conditions
Must be able to sit, stand, stoop, bend or kneel for long periods of time.
Prolonged sitting, standing, or walking; occasional bending, squatting, kneeling, and stooping; good finger dexterity and sensory perception; frequent repetitive motions; as well as talking, hearing, and visual acuity are required.
